A Maintenance Request, often referred to as a Service Request, is a formal communication initiated by a homeowner, resident, or property management staff member to report an issue requiring repair, upkeep, or service within the community. In the context of a Homeowners Association (HOA), these requests are specifically directed towards maintaining common elements and areas, which are the responsibility of the association as defined by its governing documents, such as the CC&Rs (Covenants, Conditions, and Restrictions). The primary purpose of a maintenance request is to ensure that all shared facilities, infrastructure, and landscaping are kept in good repair, preserving property values and promoting a high quality of life for all residents. Effective HOA maintenance is crucial for community aesthetics and functionality.

For HOAs, understanding the scope of a maintenance request is critical. Homeowners are typically responsible for maintenance within their individual units or lots, while the HOA is responsible for common areas like clubhouses, pools, shared roofs, exterior building elements (in condominiums), private roads, irrigation systems, and common landscaping. A well-defined process for submitting maintenance requests is essential for efficient HOA management. This often involves an online portal, a dedicated email address, or a physical form. Upon submission, the request is typically reviewed by the property manager or a designated HOA board member to assess responsibility, prioritize the issue, and assign a vendor or internal staff to address it. Timely processing of these requests is vital for resident satisfaction and preventing minor issues from escalating into costly repairs that could impact HOA fees or reserve funds.

Effective handling of maintenance requests is a cornerstone of responsible HOA governance. It directly impacts the community’s aesthetics, safety, and long-term financial health, as deferred maintenance can lead to significant expenses that deplete reserve funds. HOAs should establish clear communication protocols, provide regular updates on request status, and maintain detailed records of all submitted requests, actions taken, and associated costs. This not only ensures accountability but also provides valuable data for budgeting, future reserve studies, and demonstrating due diligence to homeowners. By streamlining the maintenance request process, HOAs can proactively manage their assets, uphold community standards, and foster a positive living environment.

Example

A homeowner submitted a maintenance request to the HOA after noticing a broken sprinkler head in the common area landscaping.
The property manager filed a maintenance request for the community clubhouse roof, which had a visible leak during a recent storm.
