What is an HOA homeowner directory?

An HOA homeowner directory, sometimes called an owner database, is the association’s master list of every unit and the people connected to it: owners, tenants, phone numbers, emails, and mailing addresses.

An accurate directory is the foundation of everything else. Notices, ballots, invoices, and emergency calls all depend on it, and most legal notices must go to the owner’s address of record.

What to include

  • Unit or lot number and property address
  • Owner names and mailing address of record
  • Phone and email for each owner
  • Tenant names and contact information
  • Vehicles and parking information
  • Pets, emergency contacts, and notes

Tips for using this template

✓Update at every sale

Add new owners as soon as you receive notice of a closing, and archive the previous owner.

✓Ask once a year

Send a yearly reminder asking owners to confirm their contact details.

✓Protect privacy

Limit who can see the full list. Many states restrict sharing owner contact information.

✓Use one source of truth

Keep a single directory everyone updates instead of several copies.
