Your Documents library is the single home for community files: CC&Rs, meeting minutes, insurance certificates, newsletters. Organize them in folders and choose who can view each one, so owners find what they need without calling you.
1. Open the Document Library
Click Documents in the main navigation. The left side lists All documents, Recent, Starred, Trash and your folder tree. Each folder shows how many items it holds and who can see it. Use the search box (press / to jump to it) to find any file or folder, and switch between grid and list view.
2. Create Folders with a Right-Click
Right-click any empty space in the library to open the menu. Choose New folder and type a name, or choose New folder with options to set who can see it as you create it. Upload files and Upload folder are in the same menu.
Tip: The menu shows keyboard shortcuts. Press N for a new folder, U to upload files and F to upload a whole folder, without touching the mouse.
Name folders by category, such as Governing Documents, Meeting Minutes or Budgets & Financials. To nest one, open a folder and create a folder inside it, for example 2026 inside Meeting Minutes.
3. Work with a Folder or File
Right-click a folder or file to act on it. You can Open, Star, Rename, Move to another folder, Change visibility, Download as zip, add a New subfolder or Delete. Tick several items to get the action bar at the bottom for Move to, Download .zip, Star, Visibility and Delete in one go.
Note: Deleted items go to Trash first, so you can bring them back.
4. Upload Files
Drag files or whole folders into the library, paste an image, or use Upload files or Upload folder from the menu. Open a folder first to upload straight into it. Click Upload with details to add a title and description and choose who can see the file.
5. Choose Who Can See It
Right-click a folder or file and open Change visibility.
- All residents: owners can see it in the portal.
- Board only.
- System only: only people who sign in to the dashboard.
Files inside a folder inherit its visibility unless you set their own.
Note: Owners see documents in the Documents Library section of the resident portal, which you can switch on or off under Operations > HOA Website > Members Portal.
