Sending Physical Mail to a Unit

CommunicationUpdated October 8, 20261 min readBeginner

Some notices need to be on paper: violation letters, assessment changes, collection notices. Perfect HOA prints and mails them for you through PostGrid, so you do not have to buy stamps or stand in line. Each letter is tracked from the moment you queue it.

1. Open the Message Window on a Unit

  • Click Units and open the unit.
  • Click Message in the top right.
  • Under Send via, choose Letter (the card says “Physical mail”).
The Message window with recipients and Send via options for Email, SMS and Letter, with Letter selected
Choose Letter to send physical mail

2. Choose the Recipients

Everyone linked to the unit is listed. Tick the contacts who should receive a letter. Use Clear to deselect everyone and start over.

3. Write the Letter

  • Enter a Subject.
  • Write the letter in the editor, or click Templates to start from a saved mail template.
  • Use Insert variable to add details such as the owner’s name, address or balance.

4. Pick a Delivery Method and Queue It

The Letter message window scrolled down showing the Delivery Method set to First Class and a Queue Letter button
The cost of the chosen method is shown before you queue it

Choose a Delivery Method. The price of each is shown next to its name:

  • First Class and Standard Class (slower and lower cost) for everyday notices.
  • Express, including USPS 2-Day and 3-Day Express, when time matters.
  • Certified Mail and Certified Mail with Return Receipt for proof of delivery.
  • Registered Mail for the highest level of tracking and security.

Click Queue Letter. The letter is printed and mailed, and appears on the Physical Mail page where you can follow it.

Warning: Certified and registered mail cost more. If a notice has a legal deadline, check your governing documents and your attorney’s advice on which delivery method you need before you send.
