Setting Up Recurring Invoices for HOA Dues & Other Recurring Fees

Recurring invoices bill HOA dues, special fees and subscriptions on a schedule, so you never have to remember to send them. You set the units, amount and frequency once, and Perfect HOA issues each invoice automatically.

1. Open Recurring Invoices

Click Finances in the main navigation, then Recurring Invoices. Each row is one schedule, showing who it bills (Target), when it last issued, when it issues next, the total and its status.

  • Filter by Status (Active, Ended or Cancelled) or by Frequency (Monthly or Annually), or search for a unit.
  • A target of All Units bills every unit from one schedule.

2. Create a Recurring Invoice

Click Create Recurring Invoice. This opens the same form you use for one-off invoices with Make Recurring switched on.

  • Unit / Recipient: pick one or more units, or switch on Send to all units.
  • Frequency: Monthly or Annually.
  • Start Date: the first date an invoice is generated.
  • End Date: leave it blank for a schedule that runs indefinitely.
  • Due After (days): how many days after each invoice is issued that payment is due. Leave it at 0 for due on issue.
  • Terms: Due On Receipt, Net 15, Net 30 or Net 60.

3. Add the Line Items and Save

  • Add each charge as a Line Item with a description, quantity and rate, for example “Monthly HOA Dues” at 1 × $55.00.
  • Use Notes / Memo for a message owners will see on every invoice.
  • Click the blue button at the top right to save the schedule.

Tip: Billing every unit the same amount? Use Send to all units so one schedule covers the whole community, instead of creating a schedule per unit.

4. Edit or Stop a Schedule

  • Click the pencil icon on a row to change the amount, dates or recipients.
  • Click the red trash icon to remove a schedule you no longer need.

Note: Invoices that were already issued stay in Manage Invoices and are not changed when you edit or remove a schedule.
