In Perfect HOA, the unit balance is a simple and transparent reflection of what a homeowner currently owes. Instead of complex manual accounting, the system calculates this figure by looking at the total of all Invoices issued to a unit and subtracting any Payments received.
How Balances are Calculated
Your unit balance is essentially a running total of your financial activity with the association.
- Invoice Totals: Whenever the HOA issues a charge—whether for monthly dues, a special assessment, or a late fee—an official Invoice is generated. The balance increases by the total amount of these invoices.
- Payments Received: When a property owner makes a payment through the portal via ACH or credit card, that amount is applied against their invoice.
- The Calculation: The balance is the sum of all unpaid invoices. For example, if you have two unpaid monthly invoices of $100 each, your balance will show as $200 until a payment is applied.
Viewing Transactions
The Manage Invoices link provides a detailed breakdown of every invoice and status on your account.
- Access Your Invoices: From your dashboard, hover or click (on mobile) the Finances menu item then Manage Invoices.
- Review Line Items: Each row represents an invoice. You can see the date, amount owed, status, and other information.
- Real-Time Updates: Because the system is cloud-based, your history updates the moment an invoice is generated or a digital payment is processed, giving you an always-accurate view of your standing.
Payment Tracking
Perfect HOA makes it easy to see exactly where your money is and how it has been applied.
- Status Tracking: You can track the status of your payments in real-time. A payment might show as “Pending” while the bank processes it, or “Cleared” once it has been successfully deposited into the association’s account.
- Invoice Matching: The system automatically matches payments to your oldest outstanding invoices first. This ensures that you aren’t accidentally hit with late fees for an old bill if you’ve already paid for the current month.
- Receipts: For every payment made through the portal, a digital receipt is stored in your history for easy downloading or printing.
